Job Summary:

The IT & Admin Officer will be responsible for supporting the organization’s IT systems and providing administrative Support to ongoing projects.  The role involves managing day-to-day IT tasks, ensuring smooth functioning of hardware/software systems, troubleshooting technical issues, and assisting with various administrative duties such as office management, event management, documentation, and coordination.

 

Roles and Key Responsibilities: 

IT Support:

  • Assist with the installation, configuration, and maintenance of hardware, software, and network systems.
  • Troubleshoot system and network problems, diagnosing and solving hardware or software faults.
  • Provide support for basic user issues, such as password resets, software installations, and printer management.
  • Maintain an up-to-date inventory of IT equipment and licenses.
  • Assist with data backups, system updates, and security checks.
  • Provide technical support for video conferencing, meetings, and presentations.
  • Collaborate with CRS IT Team and external IT vendors for support or hardware/software procurement/installation/trouble shoot.

 

Administrative Support:

 

  • Coordinate and report on activities and required resources to ensure cost efficient and quality service delivery from administrative support functions.
  •  Help ensure administrative systems, processes, and policies are in line with agency standards and donor and local law regulations.
  • Engage with relevant external stakeholders (government officials, landlords, service providers, etc.) on assigned administrative matters and help ensure required authorizations and documents are up to date.
  • Coordinate the efficient use of CP assets and rented facilities.
  • Ensure office facilities are maintained, coordinating repairs and liaising with building management when necessary. Help ensure fully compliant procurement of office materials and asset management systems.
  • Support implementation of property management processes, such as property receipt and distribution, property labeling, physical counts, etc.
  • Prepare transactional documents in support of general operations processes and support coordination of transaction processing (e.g. payment requests, travel authorizations, travel advances, visas, etc.).
  • Compile data, perform data entry and data verification in relation to general administration processes (e.g. various contact lists, employee leave balances, staff attendance reports, Vehicle Log Sheets review, visitors' welcome packages, etc.).
  • Help identify safety issues and ensuring a safe and sound work environment.
  • Coordinate the provision of travel and logistics support and services to staff and visitors. Coordinate event planning activities, including delegation visits, trainings and workshops.
  • Assist in the preparation of reports, presentations, and documentation as needed.

 

 

 

Basic Qualifications 

  • Bachelor’s degree with Professional diploma/Certificate or courses in IT is preferred.
  • Hands on experience in providing desktop support.
  • Two years’ experience working in an office environment in an administrative and IT role. Experience with a local or international NGO a plus.
  • Additional education may substitute for some experience.

 

Required Languages – English and Urdu

 

Travel - Must be willing and able to travel up to 50 %.

  • Good time management skills with ability to work on multiple tasks
  • Strong customer service orientation with good communication and interpersonal skills
  • Proactive, resourceful, solutions oriented and results-oriented

 

Preferred Qualifications 

  • Experience in desktop support and troubleshooting.
  • Experience with typing/word processing, data entry into online databases and forms, and working with various office equipment.
  • Experience in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems. Proficient in Word.
